Description:

The Sales Support Specialist will work cooperatively with Wholesale Accounts Manager and other members of the Bella Viva team to grow existing customers, create new customers, and meet or exceed monthly sales quotas at the appropriate gross margin while increasing customer satisfaction. The Sales Support Specialist will provide outstanding customer service and specialized assistance with domestic and international customers.


Summary of key responsibilities:

Responsibilities and essential job functions include but are not limited to:

  • Project an engaged, inviting, and trustworthy presence to customers and prospects.

  • Initiate correspondence using all communication channels (phone, email, website, fax) resulting in requirement of sales quota.

  • Generate new and repeat sales by providing product and technical information in a timely manner.

  • Accurately process customer transactions such as orders, quotes, and confirmations as well as generating sales reports as needed.

  • Keep accurate record of customer correspondences.

  • Categorize prospects; assisting Wholesale Accounts Manager in qualifying prospects.

  • Manage Sample Program.

  • Update price sheets as directed by the Director of Operations.

  • Communicate price adjustments with affected customers.

  • Monitor pending sales and ensure on-time shipments.

  • Complete and transmit New Vendor Documents.

  • Create new customer files and maintain current customer files.

  • Process credit applications.

  • Manage customer projections based on cold storage inventory. Ensure customers’ projections are on target for agreed upon finish-date via monthly closely communication.

  • Collaborate on ongoing basis with Shipping Department, Quality Assurance / Safety Operations, Production, and Accounting to ensure optimal customer care.

  • Organize all aspects of tradeshows and represent Bella Viva Orchards in a most professional manner in all external and internal interactions.

  • Execute tradeshow/marketing event budgets, logistics, ordering, packing event materials, travel, and lodging.

  • Create and transmit quarterly Wholesale Newsletters.

  • Manage EDI for retail prospects and customers.

  • Follow company’s processes, policies, and procedures.


Minimum Qualifications:

  • 2 years inside sales experience preferred.

  • High school diploma or equivalent required.

  • Bachelor’s Degree in related field of study preferred.

  • Ability to thrive in fast-paced, self directed, entrepreneurial environment.

  • Exceptional verbal and written communication skills, as well as interpersonal skills.

  • Proficient computer skills including MS Word, PowerPoint, Excel, and business accounting software.

  • Excellent organizational, prioritization, and presentation skills.

  • Strong decision making, problem-solving and creative thinking skills.


Physical requirements:

  • Constant sitting, standing and walking.

  • Occasional stooping/kneeling.

  • Occasional pushing, pulling, lifting and carrying 40 lbs.


Performance measures:

  • Yearly sales quota requirement met.

  • Accuracies in all sales transactions.

Description:

Performs diverse accounting and bookkeeping functions including but not limited to monthly profit/loss and balance sheets, cost accounting, accounts payables, accounts receivables, payroll, deposits and new employee set up. Performs data entry tasks, oversees inventory accuracy and maintains transportation records and reports.


Summary of key responsibilities:

Responsibilities and essential job functions include but are not limited to:

  • Generate accurate monthly profit and loss and balance sheet reports.

  • Cost accounting for all products produced.

  • Responsible for company wide inventory management and audits including but not limited to Bella Viva wholesale, Bella Viva retail, and Cold Storage sites.

  • Pays, mails and files all accounts and growers payable.

  • Completes vendor credit applications.

  • Mails/e-mails customer’s copy of invoices and files invoices and supporting documents.

  • Contacts past-due accounts’ collaborating closely with sales staff and conforms to Bella Viva receivable SOP.

  • Post all deposits to QuickBooks.

  • Processes and sets up new employees in human resources system.

  • Processes and completes payroll, Federal payroll taxes and State payroll taxes.

  • Prepare quarter-end and year-end State and Federal payroll tax forms for all companies including but not limited to:

    • State Form DE 34

    • State DE9, DE9C

    • Federal Form 940 and accompanying schedule A

    • Federal Form 941

  • Year end preparation reports for all companies including but not limited to:

    • W-2/W-3

    • 1099

    • 1098 interest

    • State Board of Equalization Returns

  • Completes EDD Monthly Agricultural Labor Report.

  • Maintains confidentiality in all aspects of client, staff and customer information.

  • Interacts with clients, vendors and visitors.

  • Files and retrieves organizational documents, records and reports.

  • Maintains Accounting Assistant Desk Top Manual, update as needed.

  • Completes projects as directed.

  • Responsible for maintaining and submitting all transportation records/reports:

    • Air Resources Board TRUCKRS Report for fleet.

    • BVO Motor Carrier Permit.

    • BVO Heavy highway vehicle use tax return/IRS 2290.

    • Completes Ag handler’s exemption report.

    • Processes BIT fees.(California CHP biennial Inspection of Terminals program)

    • Consortium Renewal. (Drug Free USA)

    • Fleet maintenance records.

    • Driver’s log records.

    • Truck inspections.


Minimum Qualifications:

  • 5 years administrative assistant, bookkeeper and human resources experience.

  • College degree preferred.

  • Computer literate.

  • Proficient in excel and QuickBooks programs.

  • Good writing, analytical and problem solving skills.

  • Knowledge of principles and practices of organization, planning, records management and general administration.

  • Knowledge of bookkeeping and generally accepted accounting principles.

  • Knowledge of accounting techniques and procedures.
